Privacy Policy

Last updated: Октябрь 14, 2026

Blooming World International ("BWI", "we", "us", "our") is the data controller for personal information processed through blwi.org. This Privacy Policy explains what we collect, why, how long we keep it, who we share it with, and the rights available to you under Kenya's Data Protection Act, 2019, the EU/UK GDPR, and other applicable data protection laws.

BWI is an African-led, not-for-profit organisation working to strengthen the foundations of learning for children and youth furthest behind - from birth through foundational literacy and numeracy to the skills and values young people need for life and work. Protecting the privacy of the people we work with - including children, families, caregivers, teachers, researchers, applicants, and reporters - is fundamental to how we build trust.

We never sell data

Your data is never sold or rented to third parties.

Reports are protected

Whistleblower reports are restricted to authorized personnel only.

Children are safeguarded

Data relating to minors is handled with additional care and consent.

1 Introduction & Scope

This Policy applies to personal information collected through blwi.org, our user accounts, our job application portal, our contact and whistleblowing forms, and any related interactions with BWI in connection with our mission to strengthen the foundations of learning for children and youth furthest behind across East Africa.

It does not cover third-party websites we link to (such as BWI Academy or partner institutions), or third-party identity providers (Google, LinkedIn) you may use to sign in - those services have their own privacy policies.

Where we collect data as part of programme delivery or research (for example, through assessments, surveys, or field studies involving children, caregivers, teachers, or community members), additional safeguards apply as described in Section 7.

2 Data We Collect

Account & Authentication

  • Name, email address, and password (if you register directly)
  • Your name, email, and profile photo from Google or LinkedIn, if you sign in with a social account - we only receive what that provider discloses to us

Job Applications

  • Name, email, phone number, and any details you include in your CV/resume, cover letter, or application form

Whistleblowing / Reporting Form

  • The content of your report and its category and priority
  • Optionally, your name, email, and phone number - the form works fully anonymously if you choose not to provide these
  • Your IP address and browser/device (user agent) information, captured for anti-abuse and rate-limiting purposes

Contact Forms & Communications

  • Name, email, and the content of any message, feedback, or inquiry you send us - including partnership, funding, research, or media enquiries

Programme & Research Participation

  • Data collected as part of a study, assessment, or programme - as described in Section 7, with additional safeguards for minors

Automatically Collected

  • IP address, browser type, device identifiers, and general location (country/city level)
  • Pages visited, and referring/exit pages, collected via server logs and, where enabled, analytics cookies
  • Cookies and similar technologies, as described in Section 9

4 How We Use Your Data

Programme Delivery

To design, deliver and evaluate programmes supporting children's foundations, from birth through adolescence

Research & Evidence

To generate evidence on what improves learning and share findings openly with governments, partners and communities

Compliance

To meet legal, regulatory, and accountability obligations, including to our funders and government partners

5 Whistleblower Report Confidentiality

We recognize that reports of misconduct involve sensitive information and that confidentiality is essential to protect reporters. We apply the following safeguards:

  • You are never required to identify yourself. If you choose to provide contact details, they are used only to follow up on your report, at your option.
  • Access to report content is restricted to a limited number of authorized personnel responsible for reviewing and investigating reports.
  • We do not disclose a reporter's identity to the person(s) named in a report, except where strictly necessary to conduct a fair investigation, required by law, or with the reporter's consent.
  • Technical metadata (IP address, user agent) collected with a report is used solely to prevent abuse of the form and is not used to unmask anonymous reporters absent a legal obligation to do so.

BWI prohibits retaliation against any individual who submits a report in good faith, regardless of the investigation's outcome.

6 Job Applicant Data

CVs, cover letters, and other application documents are stored securely with our file-storage provider and are only accessible to the hiring team for the relevant role.

If you are not selected, we retain your application data for a limited period (generally up to 12 months) in case a similar role becomes available, unless you ask us to delete it sooner or applicable law requires a different period. You may withdraw your application at any time from your account.

7 Programme & Research Data

Delivering our mission involves collecting data through assessments, surveys, structured pilots, and community-based research. This may include information about children, caregivers, teachers, community health workers, and youth participants - including, in some cases, children from birth to age three.

Because we work with children and families furthest behind, we apply additional safeguards:

  • Informed consent from parents or guardians for any data concerning children, and age-appropriate assent where applicable
  • Anonymisation or pseudonymisation of individual-level data wherever possible, before analysis or publication
  • Restricted access - only team members working on the specific study or programme can view identifiable data
  • Ethics review by an appropriate institutional review board for research involving human participants, where required
  • Alignment with our Safeguarding Policy, which governs all interactions with children and vulnerable people, whether in person or online

Research findings are published openly in anonymised or aggregated form. Individual-level data is not shared publicly, and is shared with governments, partners or funders only in a form that cannot identify any individual.

8 How We Share Data

We do not sell, rent, or trade your personal data. We only share it in the following circumstances:

  • Service providers acting on our behalf, under contract, including our hosting provider, Cloudinary (secure file/image storage for CVs and media), and Cloudflare (Turnstile spam protection on our forms)
  • Identity providers (Google, LinkedIn), only if you choose to sign in through them, and only to authenticate you
  • Government partners, research collaborators, or funders - only in anonymised or aggregated form for reporting our programmatic impact and advancing evidence-based policy
  • Legal and regulatory authorities, where required by Kenyan law or a valid legal process
  • With your explicit consent, for any other purpose we disclose to you at the time

9 Cookies & Tracking Technologies

We use a limited set of cookies to run the site and, only with your consent, to understand how it's used.

Cookie Purpose Type
csrftoken, sessionid Required for login, security, and form submission Essential (always on)
django_language Remembers your chosen site language Essential (always on)
_ga, _gid, _gat Anonymized usage analytics, if and when enabled Optional - requires consent

You can control or delete cookies at any time through your browser settings. Disabling essential cookies may prevent parts of the site - such as login or form submission - from working correctly.

10 Data Retention

We keep personal data only as long as necessary for the purpose it was collected: account data for as long as your account is active, job applications as described in Section 6, programme and research data for the duration of the study plus the retention period required by our ethics approvals and funders, and whistleblowing reports for as long as needed to investigate and close the matter and to meet any legal or audit obligation. After the retention period, data is deleted or anonymised.

11 Data Security

We use industry-standard measures to protect personal data, including encryption in transit (HTTPS/TLS), hashed passwords, rate-limiting and bot protection on public forms, and role-based access controls that restrict who can view sensitive data such as whistleblowing reports, CVs, and individual-level programme and research data.

No system is 100% secure. If a breach occurs that affects your personal data, we will notify affected individuals and, where required, the Office of the Data Protection Commissioner (Kenya) or other relevant authority, without undue delay.

12 International Data Transfers

BWI is based in Kenya and works across East Africa. Some of our service providers (such as our hosting and file-storage providers) may process data outside your country of residence, including in the EU/EEA or the United States. Where we transfer personal data internationally, we use appropriate safeguards, such as contractual data protection commitments with our processors, consistent with the Kenya Data Protection Act, 2019 and, for EU/UK data subjects, the GDPR's transfer rules.

13 Your Rights

Subject to applicable law, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your data
  • Object to or restrict certain processing
  • Request a portable copy of your data
  • Withdraw consent at any time

To exercise any of these rights, contact us at privacy@blwi.org. We will respond within 30 days and may need to verify your identity first. If you are the parent or guardian of a child who has participated in one of our programmes or studies, you may exercise these rights on their behalf. You also have the right to lodge a complaint with the Office of the Data Protection Commissioner (Kenya) or your local data protection authority.

14 Children's Privacy & Safeguarding

Our website and public accounts are not directed at children under 13, and we do not knowingly collect personal data from them through the site or job application portal.

Much of our work, however, involves children and young people - from birth through adolescence. When we collect data as part of programmes, assessments, or research involving minors, we do so only with parental or guardian consent (and, where appropriate, the child's assent), and in line with our Safeguarding Policy and applicable ethics approvals.

Safeguarding children and vulnerable people is a core commitment across all our work, in person and online. Reports of concern about a child's safety are handled under our Safeguarding Policy and are escalated immediately to the designated Safeguarding Lead.

15 Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised policy here and update the "Last updated" date; significant changes will be communicated more prominently where appropriate.
